📖 Overview

CoderEmbassy Bulk Variations Manager Pro is a commercial add-on for the free CoderEmbassy Bulk Variations Manager plugin. It adds advanced tools for managing WooCommerce product variations across multiple variable products from one organized workspace.

The Cross-product Editor lets store managers search for variable products, load their variations, filter by product data or attributes, select the required rows, and update prices, stock, SKUs, images, dimensions, descriptions, downloadable files, tax classes, shipping classes, and other variation fields.

Changes are staged before they are written to the store. Use Preview & Approve to inspect each old and new value, then apply the job only when the preview is correct. Completed jobs remain available in Job History, and supported jobs can be rolled back.

Pro also includes advanced formulas, an SKU generator, reusable bulk-edit templates, saved table views, a CSV cleanup assistant, conditional rules, scheduled rule previews, scheduled job application, downloadable product tools, and license-based updates.

The Pro addon does not run by itself. WooCommerce and the free CoderEmbassy Bulk Variations Manager plugin must be installed and active. Scheduled features use WordPress scheduling, so reliable WP-Cron or a server cron is recommended on production stores.

📦 Installation

Follow these steps to install and activate the plugin on your WordPress/WooCommerce site. Requires WordPress 6.0+, WooCommerce 7.0+, and PHP 8.0+.

    Confirm that WordPress 6.3 or newer, PHP 8.1 or newer, WooCommerce 7.0 or newer, and the free CoderEmbassy Bulk Variations Manager plugin are installed.

    Activate WooCommerce and the free CoderEmbassy Bulk Variations Manager plugin first.

    Download the CoderEmbassy Bulk Variations Manager Pro ZIP file from your CoderEmbassy account.

    In WordPress, open Plugins > Add New Plugin and click Upload Plugin.

  5. 5

    Choose the Pro ZIP file, click Install Now, and then click Activate Plugin.

  6. 6

    Open Bulk Variations in the WordPress admin menu and confirm that Cross-product Editor, CSV Assistant, Rules, and Pro License are available.

    Open Pro License, paste your license key, and click Activate license.

  8. 8

    Open Cross-product Editor, select a variable product, and load its variations to confirm the installation is working.

Edit variations across multiple products

Use Cross-product Editor to load and edit variations from several variable products in one workspace.

    Open Bulk Variations > Cross-product Editor.

  2. 2

    Search for and select one or more variable products.

  3. 3

    Remove any product selected by mistake, then click Load selected variations.

  4. 4

    Use search, attribute filters, and visible-column controls to narrow the table.

  5. 5

    Select individual rows, all rows in the current view, or all rows in a product group.

  6. 6

    Edit a safe cell directly or use one of the bulk tools.

  7. 7

    Review Pending changes and send them to Preview & Approve.

  8. 8

    Check every old and new value before applying the job.

💡

Save a table view when you regularly use the same filters and columns.

⚠️

Only selected variation rows receive changes from Pro bulk tools.

Update prices and sale dates

Set, increase, decrease, round, or clear variation prices without editing products individually.

    Choose an operation such as Set exact price, Increase by amount, Decrease by percent, or Round to .99.

    Set sale start and end dates when required.

    Review the calculated results in Preview & Approve before applying.

💡

Use dry runs or preview tables to confirm percentage calculations before applying a large promotion.

⚠️

A sale price should normally be lower than its regular price.

Manage stock and physical data

Update stock quantities, stock status, stock management, weight, and dimensions for selected variations.

    Set stock status or enable and disable stock management when needed.

💡

Filter by stock status or quantity before selecting rows for a restock operation.

⚠️

Do not enter negative stock quantities or physical measurements.

Configure downloadable variations

Turn selected variations into downloadable products and attach a customer-accessible file.

    Select the variations that should provide a download.

    Use Virtual/downloadable to enable Downloadable and enable Virtual when no shipping is required.

  3. 3

    Open Download files and enter a customer-facing file name.

  4. 4

    Paste a valid file URL or click Choose file to select a file from the WordPress Media Library.

    Optionally set a download limit and expiry days. Leave them blank for unlimited downloads with no expiry.

    Preview and apply the changes.

    Place a test order and confirm the file appears in My Account > Downloads when the order status permits access.

💡

Use a clear file name such as Poster PDF, User Manual, or Product Guide.

⚠️

A downloadable flag without a valid downloadable file will not give the customer a download.

Generate SKUs and use formulas

Create unique SKU patterns and calculate numeric variation values from existing data.

    Select the variation rows to update.

  2. 2

    For SKUs, enter a prefix or use tokens such as {product}, {product_id}, {variation_id}, {number}, and {attribute_size}.

  3. 3

    Choose the first number, increment, and minimum number of digits, then create the staged SKUs.

  4. 4

    For numeric calculations, choose a target field in Advanced formula.

  5. 5

    Enter a formula such as regular_price * 1.10, current - 5, or stock_quantity + 3.

  6. 6

    Add the formula changes and review the calculated values before applying.

💡

Include {number} or {variation_id} in SKU patterns to make uniqueness obvious.

⚠️

WooCommerce requires SKUs to be unique across products and variations.

Reuse templates and saved table views

Save repetitive bulk-tool setups and table layouts for faster future workflows.

    Configure a group of bulk-tool values that you expect to reuse.

    Enter a descriptive template name and click Save template.

  3. 3

    Load a saved template before staging a similar operation in the future.

  4. 4

    Configure table search, attribute filters, and visible columns.

    Enter a view name and click Save view.

  6. 6

    Apply the saved view whenever you need the same table layout.

💡

Use names that describe the result, such as Seasonal sale, Digital poster setup, or Stock review.

⚠️

Loading a template restores tool settings; always verify the selected rows before adding changes.

Clean and import CSV data

Use CSV Assistant to normalize messy headers before validating and importing data through the base CSV Import workflow.

    Open CSV Assistant and upload or paste the source CSV.

  2. 2

    Click Analyze CSV.

  3. 3

    Review mapped columns, ignored columns, confidence labels, and cleanup notes.

  4. 4

    Download or copy the cleaned CSV.

  5. 5

    Open CSV Import and upload the cleaned file.

  6. 6

    Enter a default product ID only when rows omit product_id and all belong to the same variable product.

  7. 7

    Click Validate CSV and resolve every invalid-row message.

  8. 8

    Open Preview & Approve and apply only when the proposed changes are correct.

💡

Keep product_id, variation_id or SKU, and attribute columns unambiguous in files used for variation updates.

⚠️

CSV Assistant identifies bad values but does not silently invent replacements for invalid prices, dates, quantities, or duplicate SKUs.

Create and test conditional rules

Build reusable rules that target variations by price, stock, status, or loaded attribute values.

    Open Rules and enter a rule name.

  2. 2

    Choose the first field, condition, and comparison value.

  3. 3

    Add more conditions when needed. All conditions are combined with AND.

  4. 4

    Choose the field to change, the action, and the required amount or value.

  5. 5

    Select the variable products to test.

  6. 6

    Click Dry run matches and inspect the matched field, current value, and resulting value.

  7. 7

    Send correct results to Preview & Approve or save the rule for later use.

💡

Read the matched-field column carefully; it explains why each variation matched the rule.

⚠️

A dry run does not modify products. Product data changes only after the resulting preview job is applied.

Schedule rule previews and job application

Run saved rules on a daily or weekly schedule and optionally schedule an approved job to apply later.

    Configure a saved rule and select Manual only, Daily preview, or Weekly preview.

  2. 2

    Choose the site-local preview time and, for weekly schedules, the weekday.

  3. 3

    Save the rule with the products it should evaluate.

  4. 4

    Use Check schedules now when testing or wait for WordPress scheduling to run.

  5. 5

    Open the created Preview & Approve job and inspect its changes.

  6. 6

    Apply immediately or choose a future apply date and time.

  7. 7

    Cancel the scheduled apply before it runs if plans change.

  8. 8

    After execution, confirm the job status is Completed and progress is 100%.

💡

Configure a real server cron for reliable production scheduling on low-traffic sites.

⚠️

Scheduled rules create review jobs; they do not bypass Preview & Approve. A separately scheduled apply writes the reviewed job later.

Review jobs and roll back changes

Use Job History to monitor previews, completed jobs, scheduled work, failures, and supported rollbacks.

    Open Jobs and select the relevant job.

  2. 2

    Review its status, progress, source, timestamps, and recorded changes.

  3. 3

    For pending-review jobs, apply the changes or discard the preview.

  4. 4

    For a supported completed job, click Rollback.

  5. 5

    Open the rollback job and confirm that the inverse changes completed successfully.

  6. 6

    Verify the affected variations in WooCommerce after a significant rollback.

💡

Keep a database backup before very large imports or scheduled catalog updates.

⚠️

Rollback restores recorded field values; it is not a substitute for a complete store backup.

Activate and manage the Pro license

Connect the site to CoderEmbassy for license validation and Pro update eligibility.

    Open Bulk Variations > Pro License.

  2. 2

    Paste the license key from your CoderEmbassy account.

  3. 3

    Click Activate license and confirm the status becomes active.

  4. 4

    Use Check status to refresh the current plan, expiry, and site information.

  5. 5

    Click Deactivate before moving the license to another production site.

💡

Localhost and recognized staging URLs may be shown as development sites and may not consume a production activation.

⚠️

If the license server is unreachable, check outbound HTTPS access and remove local API overrides before testing against production.
